RESERVATION, DEPOSIT & CANCELLATION POLICY
Sumpter RV Park is a small, family-run campground with a short seasonal window. When a site is reserved, it is held exclusively for that guest and becomes unavailable to others. Our policies help keep things fair, predictable, and sustainable for all visitors.

RESERVATIONS & DEPOSITS
A deposit is required to reserve a site. Deposits are applied to your final balance at check-in.
Deposit Amounts
• 1–3 nights: $40 deposit
• 4–7 nights: $75 deposit
• 8+ nights / weekly stays: $100 deposit
• Monthly / extended stays: $250 deposit
A non-refundable $4 booking fee applies to every reservation.
CANCELLATION POLICY
All cancellations must be made by phone or email so they can be timestamped and verified.
Refunds are based on the number of days before arrival and the length of the reservation.
1–3 Night Stays (Short Stays)
• Cancel 7+ days before arrival:
Deposit refunded minus $10 cancellation fee + booking fee retained.• Cancel 3–6 days before arrival:
50% of deposit forfeited + booking fee retained.
• Cancel within 72 hours of arrival: Full deposit forfeited. No refund.
4–7 Night Stays (Medium Stays)
• Cancel 14+ days before arrival:
Deposit refunded minus $10 cancellation fee + booking fee retained.
• Cancel 7–13 days before arrival:
50% of deposit forfeited + booking fee retained.
• Cancel less than 7 days before arrival: Full deposit forfeited.
8+ Nights / Weekly Stays (Long Stays)
• Cancel 30+ days before arrival:
Deposit refunded minus $20 cancellation fee + booking fee retained
• Cancel 15–29 days before arrival:
50% of deposit forfeited + booking fee retained.
• Cancel less than 15 days before arrival: Full deposit forfeited.
Monthly / Extended Reservations
• Cancel 30+ days before arrival:
Deposit refunded minus $100 booking fee.
• Cancel less than 30 days before arrival: Full deposit forfeited. No refund.**Full-season reservation cancellations result in forfeiture of the deposit**
NO-SHOWS & SAME-DAY CANCELLATIONS
If a guest does not arrive on the arrival date or cancels the day of check-in:
• Full payment is forfeited
• Reservation is canceled with no refund or credit
• Guest will be charged for FULL length of reserved stay.
RESERVATION CHANGES / DATE MODIFICATIONS
• One date change may be made free of charge if requested 7+ days before arrival.
• Additional changes incur a $20 modification fee.
• If a date change reduces the number of reserved nights, the removed nights follow the cancellation policy above.
EARLY DEPARTURE OR CHANGES AFTER CHECK-IN
Once a guest checks in (arrives onsite), the reservation becomes final.
After check-in:
• Nights cannot be removed from the reservation
• The remaining balance will not be reduced
• Unused nights are non-refundable.
WEATHER POLICY
We do not issue refunds or credits for weather unless the park is officially closed by management for safety reasons.
HOLIDAY & SPECIAL EVENT CANCELLATION POLICY
Cancellations for holiday weekends, special events, and Sumpter event weekends may be subject to stricter rules. These dates are in high demand; cancellations within the penalty window may not be refunded.
Dates covered include: Memorial Day • 4th of July • Labor Day • Town-wide events and special event weekends
Holiday Cancellations
• More than 7 days before arrival:
A $50 cancellation fee will be charged.
The remaining $50 of the $100 deposit will be refunded to the original form of payment.
• 7 days or less before arrival:
The full $100 deposit is forfeited. No refunds will be issued.
Holiday No-Shows
• Holiday no-shows will be charged the full cost of the reserved stay.
• Failure to arrive or notify the park will result in:
o Cancellation of the reservation
o The remaining balance being charged to the credit card used to make the reservation
Early Departure & Site Reductions
• No refunds or credits are issued for early departures during holiday or special event weekends.
• Reducing nights or sites on a holiday or special event reservation is treated as a cancellation and follows the holiday cancellation policy above.
GROUP RESERVATIONS & CANCELLATION POLICY
A group reservation is defined as three (3) or more sites booked by the same individual, family, organization, or party, whether reserved at the same time or through multiple bookings.
Because group reservations hold a significant portion of our small park and prevent other guests from reserving sites, stricter terms apply.
Group Deposits
• All group reservations require a non-refundable deposit of $100 per site at the time of booking.
• This deposit is applied toward the group’s total stay at check-in.
• Group reservations are not confirmed until the full group deposit is received.
Group Cancellation Policy
• 30 or more days before arrival:
• Group deposits are forfeited
• Any additional payments made beyond the deposit may be refunded at park discretion
• Less than 30 days before arrival:
• No refunds of any kind
• All deposits and payments made are forfeited
Partial Group Cancellations (Dropping Sites)
Reducing the number of sites in a group reservation is treated as a cancellation of those sites.
• Any sites removed from the original reservation:
o Result in forfeiture of the deposit for those sites
o Are non-refundable if removed within 30 days of arrival
• The group organizer remains financially responsible for all sites originally reserved, unless canceled within the allowed cancellation window.
Changes at / After Check-In (Groups)
Once any member of the group has checked in, the group reservation becomes final.
• Sites and nights cannot be reduced
• No refunds or credits are issued for:
o Dropped sites
o Early departures
o Unused nights
Responsibility of Group Organizer
By confirming a group reservation, the group organizer agrees to:
• Accept financial responsibility for all sites originally booked
• Ensure all group members are aware of and comply with park rules and policies
Why This Policy Exists
Group reservations significantly limit availability at our small park and are difficult to rebook if canceled. This policy helps ensure fairness to all guests and allows us to operate responsibly.
