SUMPTER RV PARK CANCELLATION POLICY
Sumpter RV Park is a small, family-run campground with a short seasonal window. When a site is reserved, it is held exclusively for that guest and becomes unavailable to others. Our policies help keep things fair, predictable, and sustainable for all visitors.
Thank you for understanding and supporting our little mountain campground.
Due to the extraordinary wildfire activity affecting our region during the 2026 season, Sumpter RV Park is making a temporary exception by offering reservation credits for qualifying fire-related cancellations. Reservation credits will be issued less the applicable cancellation fee outlined in our standard cancellation policy and may be applied toward a future stay through the end of the 2027 season.
This accommodation is being extended as a courtesy to support our guests during these unique circumstances. It does not modify or replace our standard cancellation policy, constitute a permanent change to that policy, or guarantee that reservation credits will be offered for future wildfire events or other circumstances.
CANCELLATION POLICY
All cancellations must be made by phone or email so they can be timestamped and verified.
Refunds are based on the number of days before arrival and the length of the reservation. (excludes The Timberline Tent)
Any cancellation or change that shortens the length of stay is subject to the following fees:
1–3 Night Stays
• Cancel 7+ days before arrival: Deposit refunded minus $25 cancellation fee.
• Cancel Less than 7 days prior to arrival: Full payment forfeited.
4–7 Night Stays
• Cancel 14+ days before arrival: Deposit refunded minus $50 cancellation fee.
• Cancel Less than 14 days prior to arrival: Full payment forfeited.
8+ Nights / Weekly Stays
• Cancel 30+ days before arrival: Deposit refunded minus $75 cancellation fee.
• Cancel less than 30 days before arrival: Full payment forfeited.
14- 27 Nights / Weekly Stays
• Cancel 45+ days before arrival: Deposit refunded minus $100 cancellation fee.
• Cancel less than 45 days before arrival: Full payment forfeited.
28+ Days / Extended Reservations (excludes seasonal stays)
• Cancel 60+ days before arrival: Deposit refunded minus $150 booking fee.
• Cancel less than 60 days before arrival: Full payment forfeited.
**Full-season reservation cancellations result in forfeiture of the deposit**
The Timberline Tent Reservations (glamping tent)
• Cancel 15+ days before arrival: 50% of the deposit is forfeited and the remaining 50% is refunded.
• Cancel 8-14 days before arrival: The entire deposit is forfeited.
• Cancel 7 days or less before arrival: The reservation is non-refundable. The full reservation amount is forfeited since the balance has already been charged.
***Timberline Tent Reservations***
50% deposit due at the time of booking.
Remaining balance is automatically charged 7 days before arrival.
NO-SHOWS & SAME-DAY CANCELLATIONS
If a guest does not arrive on the arrival date or cancels the day of check-in:
• Full payment is forfeited
• Reservation is canceled with no refund or credit
• Guest will be charged for FULL length of reserved stay.
RESERVATION CHANGES / DATE MODIFICATIONS
• One date change may be made free of charge if requested 7+ days before arrival
• If a date change reduces the number of reserved nights, the removed nights follow the cancellation policy above.
EARLY DEPARTURE OR CHANGES AFTER CHECK-IN
Once a guest checks in (arrives onsite), the reservation becomes final.
After check-in:
• Nights cannot be removed from the reservation.
• The remaining balance will not be reduced.
• Unused nights are non-refundable.
WEATHER POLICY
Weather conditions, wildfires, smoke, road closures, burn bans, and public land or forest access restrictions are beyond the control of Sumpter RV Park and do not automatically qualify for a refund or credit. Reservations remain subject to our standard cancellation policy.
HOLIDAY & SPECIAL EVENT CANCELLATION POLICY
Cancellations for holiday weekends, special events, and Sumpter event weekends may be subject to stricter rules. These dates are in high demand; cancellations within the penalty window may not be refunded.
Dates covered include: Memorial Day • 4th of July • Labor Day • Town-wide events and special event weekends
Holiday Cancellations
The deposit will be refunded minus a cancellation fee based on the length of stay.
Cancel 14+ Days Before Arrival:
• 1–3 Night Stays: $50 cancellation fee
• 4–7 Night Stays: $75 cancellation fee
• 8–13 Night Stays: $100 cancellation fee
Cancel Less Than 14 Days Before Arrival
The full deposit/payment is forfeited.
Longer Stays:
Reservations of 14 nights or more that include a holiday or special event will remain subject to the standard cancellation policy based on the total length of the reservation.
Holiday and special-event dates are in high demand and can be difficult to rebook on short notice. These stricter terms help us protect our small campground while keeping our cancellation policy fair and consistent.
RESERVATION CHANGES & SITE REDUCTIONS
Any change that reduces the number of nights, sites, or accommodations on a reservation is considered a cancellation of the unused portion of the reservation and is subject to the applicable cancellation policy above.
Holiday No-Shows
• Holiday no-shows will be charged the full cost of the reserved stay.
• Failure to arrive or notify the park will result in:
Cancellation of the reservation. The remaining balance being charged to the credit card used to make the reservation.
Early Departure & Site Reductions
• No refunds or credits are issued for early departures during holiday or special event weekends.
• Reducing nights or sites on a holiday or special event reservation is treated as a cancellation and follows the holiday cancellation policy above.
Emergency closures due to wildfire, evacuation orders, government directives, or other circumstances beyond Sumpter RV Park's control are not considered standard cancellations and will be handled according to the Emergency Operations section of the Park Policies & Terms & Conditions.
